AI Automation · Built for California small business
Every missed call is a job someone else booked.
Marketlyze builds the AI systems that answer, qualify, book, follow up and report — so the work keeps moving at 9pm on a Sunday, when your competitor’s phone goes to voicemail and yours doesn’t.

The actual problem
Small businesses aren’t behind on AI.
They’re behind on the boring parts.
Nobody loses a customer because they didn’t have a chatbot. They lose them because a call rang out while they were under a sink, a form sat unanswered until Tuesday, a reminder never went out and the chair sat empty, or the review request nobody had time to send never got sent. That’s what we automate: the small, repeatable, revenue-carrying tasks that fall through when a five-person team gets busy.

What are unanswered enquiries costing you?
Move the sliders. This is a rough model, not a promise — but it’s the same arithmetic we run properly, with your real call logs, during the free audit.
Missed calls and form fills each week

What we build
Ten automations that pay for themselves first
Every one of these is a trigger, an action and an outcome — no vague “AI transformation.” Most clients start with two or three and add from the list as the first ones prove out.
AI Receptionist & Missed-Call Recovery
Trigger
A call rings out, comes in after hours, or lands while you’re on a ladder.
What runs
A voice agent answers in your business’s voice and tone, or an instant text goes back offering to book — with a clear disclosure that it’s an assistant.
Outcome
The lead stays yours instead of dialling the next result on Google.
Speed-to-Lead Follow-Up
Trigger
Someone submits a form, taps a Google Local Services ad, or replies to a Meta lead ad.
What runs
A reply goes out in under 60 seconds, asks the three questions that actually qualify them, and offers real open slots.
Outcome
You reach people while they’re still on your website — not the next morning.
Booking, Reminders & No-Show Recovery
Trigger
A slot gets booked, or an appointment is 24 hours out.
What runs
Confirmations, reminders, one-tap reschedule links and waitlist backfill all run themselves.
Outcome
Fewer empty chairs, and no more phone tag over a rescheduled Tuesday.
Support Assistant for Site Chat and Inbox
Trigger
A customer asks about hours, pricing, warranty, parking, or where their order is.
What runs
An assistant trained on your own documents answers, and escalates anything outside what it’s been given.
Outcome
Routine questions stop reaching your team — and the real ones reach it faster.
Estimates, Quotes & Proposal Chasing
Trigger
An enquiry arrives with photos, measurements, or a rough scope.
What runs
Intake is parsed into a structured job, a draft estimate is built from your pricebook, and quiet quotes get followed up on a schedule.
Outcome
Quotes go out same-day, and nothing sits unchased because you forgot.
Review & Reputation Engine
Trigger
A job is marked complete, or an invoice clears.
What runs
A review request goes out at the moment satisfaction peaks, and drafted replies to new reviews wait for your one-tap approval.
Outcome
A steady stream of Google reviews — which feeds your Local SEO rankings directly.
CRM & Back-Office Workflows
Trigger
A job closes, a payment lands, a signed document arrives.
What runs
Records sync between your CRM, calendar, accounting and file storage without anyone re-typing them.
Outcome
You get your Tuesday afternoon back, and your records stop disagreeing with each other.
Owner Dashboard & Weekly Reporting
Trigger
Monday, 7:00 AM.
What runs
Calls, leads, sources, response times, bookings and revenue land in one dashboard, with a short plain-English summary.
Outcome
You run the week on numbers instead of a feeling.
Content & Social Repurposing
Trigger
You upload a job-site video, a finished project, or a before-and-after.
What runs
Clips, captions, platform-ready posts and a Google Business Profile update are drafted for your approval.
Outcome
Marketing keeps running during the weeks you’re slammed.
Internal Knowledge Assistant
Trigger
A new tech or hire asks how something is done.
What runs
An assistant answers from your own SOPs, pricebook, warranty terms and past jobs.
Outcome
Fewer interruptions for whoever on your team knows everything.
Who this is built for
Six kinds of California business where automation pays back fastest
We picked these because they share one shape: a phone that rings when nobody can pick it up, a calendar that leaks money when it has gaps, and an owner who is also the front desk. Pick yours to see what we’d build first.
Home Services & Trades
HVAC · Plumbing · Electrical · Roofing · Solar · Landscaping · Pest control
Emergency work goes to whoever picks up first. When a compressor dies in a Central Valley July, the homeowner calls three numbers and books the one that answers — and you’re usually the one under a house with your phone in the truck.
- 24/7 voice answering plus missed-call text-back
- Emergency vs. routine triage and priority routing
- Photo-and-address intake that arrives dispatch-ready
- Draft estimates built from your own pricebook
- Review request the moment a job is marked complete
- Seasonal maintenance-plan reminders (pre-summer, pre-winter)
NoteYou need this if: more than three calls a week go unreturned, or you’re paying for Local Services Ads while calls ring out.
Dental, Medical & Med Spa
General & cosmetic dentistry · Chiropractic · Physical therapy · Med spa · Optometry · Veterinary
Your margin lives in a full schedule. A no-show at 2pm is revenue you can’t get back, and your front desk is spending its day on insurance questions and recall calls instead of the patient standing in front of it.
- Automated recall and reactivation for lapsed patients
- No-show prediction, confirmation ladders and waitlist backfill
- New-patient intake, forms and pre-visit instructions
- Insurance and pricing FAQ deflection before it reaches the desk
- Post-visit review requests and treatment-plan follow-up
- Referral-source tracking on every new patient
NoteHandled carefully: builds that touch patient information are scoped with a BAA, restricted data flows and HIPAA-aware tooling — or kept deliberately outside the clinical record.
Law Firms & Solo Practices
Immigration · Family · Personal injury · Estate planning · Employment · Small-firm criminal defense
Intake is the bottleneck and unqualified consults are the tax. Every hour spent on a call that was never going to be a case is an hour off a matter that was.
- 24/7 intake screened against your own case criteria
- Automatic disqualification and referral-out messaging
- Consult booking with pre-paid or deposit options
- Document-request chasing until the file is complete
- Matter-status updates so clients stop calling for them
- Spanish-language intake for California client bases
NoteYou need this if: your paralegal is your intake team, or Google Ads leads reach you hours after they were ready to sign.
Real Estate, Mortgage & Insurance
Agents & teams · Mortgage brokers · Title & escrow · Insurance agencies · Property management
Speed decides who gets the appointment. Harvard Business Review’s lead-response research found that firms contacting a lead within an hour were about seven times more likely to have a meaningful conversation with a decision-maker than those that waited just one hour longer.
- Sub-minute response across portal, ad and website leads
- Buyer / seller / timeline qualification before you call
- Showing and consultation scheduling against your calendar
- Long-nurture sequences for the six-months-out crowd
- Listing descriptions, flyers and social drafts from the MLS sheet
- Renewal, rate-change and policy-review reminders
NoteYou need this if: leads arrive while you’re in an open house, or your CRM is full of contacts nobody has touched in ninety days.
Restaurants, Catering & Hospitality
Independent restaurants · Catering · Food trucks · Event venues · Boutique hotels
The phone rings hardest at exactly the moment nobody can answer it. Catering and large-party enquiries — the high-ticket ones — are the first to go unanswered during service.
- Reservation and large-party handling during service
- Catering and event enquiry qualification with instant quote ranges
- Hours, parking, allergen and menu questions answered instantly
- Order-status and delivery questions off the staff phone
- Review recovery and drafted responses after a bad night
- Repeat-guest and event-anniversary win-back campaigns
NoteYou need this if: your catering enquiries come in by phone during dinner service and get called back the next afternoon.
Salons, Studios, Gyms & Personal Care
Hair & nail salons · Barbershops · Yoga & pilates studios · Gyms · Personal training · Detailing
Retention is a calendar problem. A client who doesn’t rebook before they leave usually doesn’t rebook at all, and an unfilled cancellation is a chair that earns nothing.
- Booking and rebooking prompts at the right moment
- Cancellation waitlist filled automatically from the top down
- Membership and package win-back for lapsed clients
- Front-desk chat for pricing, availability and stylist matching
- Class and appointment reminders that reduce no-shows
- Birthday, renewal and loyalty-milestone touches
NoteYou need this if: your team is answering DMs about pricing and availability between clients.

How an engagement runs
Five steps, and you can stop after the first two
The audit and the blueprint are yours whether or not you hire us to build any of it. We’d rather you leave with a plan you could hand to anyone than sign something you don’t understand.
STEP 01
Free automation audit
Thirty minutes on your calls, your calendar, your enquiry sources and where things drop. We ask for your call log and your last month of leads — that’s it.
30 minutes · no cost
STEP 02
Blueprint & payback map
A written plan: which automations, in what order, what each is worth per month, and a fixed price for each. Nothing starts until you approve a number.
Within 5 business days
STEP 03
Build on your tools
We build around the software you already pay for rather than migrating you. Every workflow is tested against real scenarios from your own history before it touches a customer.
2–3 weeks typical
STEP 04
Launch & team training
We go live on one channel first, watch it closely, then expand. Your team learns the handoff rules and how to switch anything off in one click.
1 week, with live monitoring
STEP 05
Tune & expand
Monthly reporting on what the systems booked, caught and saved — then the next automation off the blueprint, when the last one has proven itself.
Ongoing · month-to-month
Packages
Priced so the first automation pays for the rest
A one-time build fee, then a month-to-month management retainer. Starting prices — the blueprint gives you the real number before you commit to anything.
Tier 01
Stop the Leak
Solo operators and teams of two to five who are losing calls, not customers.
$1,200 — one-time build
then $350 / month
- AI receptionist or missed-call text-back
- One booking or speed-to-lead workflow
- CRM and calendar connection
- Consent capture and opt-out handling
- Monthly performance report
- Email support, two revision rounds
Tier 02
Front Desk on Autopilot
Five to twenty-five people, multiple techs or providers, more enquiries than hands.
$2,900 — one-time build
then $750 / month
- Everything in Stop the Leak
- Up to five connected workflows across voice, SMS and web chat
- Review and reputation engine
- Estimate or intake automation
- Owner dashboard with weekly summary
- Monthly optimization call
Tier 03
Operations Command
Multi-location, multi-brand, or businesses running on software nothing else talks to.
$6,500 — one-time build
then $1,600 / month
- Everything in Front Desk on Autopilot
- Custom agents for your own processes
- Multi-location routing and per-branch reporting
- Deep or proprietary software integrations
- Internal knowledge assistant for your team
- Quarterly roadmap and priority response
What isn’t in those numbers: third-party subscriptions — phone numbers and call minutes, your CRM, and model usage — are billed to your own accounts at cost, typically $60–$250 a month depending on call volume. We don’t mark them up and we don’t hold the logins. Retainers are month-to-month after the build period, and everything we build stays in accounts you own.
Where we draw the line
Automation your customers won’t resent
Badly deployed AI costs more than no AI. These are the rules we build to, and they’re in the scope document, not just on this page.
We won’t
Pretend a bot is a person.
California’s B.O.T. Act (SB 1001) requires a clear, conspicuous disclosure when a bot communicates with a Californian to sell or influence. Every assistant we ship says what it is, in the conversation, in the first message.
We won’t
Trap someone who needs a human.
Every system has an escape hatch: a phrase, a keypress or a keyword that hands the conversation to a person and notifies your team. Frustration routing is built in from day one, not added after a complaint.
We won’t
Text people who never opted in.
Consent capture, opt-out keywords and quiet hours are part of every SMS build. Getting this wrong is a TCPA problem, and it’s a fast way to make automation the most expensive thing you ever bought.
We won’t
Let a model invent your pricing.
Assistants answer from your documents and your pricebook, with guardrails on anything financial, medical or legal. When the answer isn’t in what you gave us, it says so and hands off.
We won’t
Hold your systems hostage.
Accounts, phone numbers, data and workflow files are yours, in your name, from the first day. If you leave, you leave with everything working.
California specifics
Built for the state you actually operate in
California regulates automated communication more tightly than most states, and small businesses are usually the last to hear about it. Bot disclosure, consumer privacy rights, recording consent and SMS consent all touch the systems on this page — so we scope for them before the build rather than after a complaint.
Every engagement includes a written data-handling summary: what the system collects, where it’s stored, how long it’s kept, and how a customer’s deletion request gets honoured. Clinics get a stricter version.

The questions we get on every audit call
Will it sound like a robot?
It will sound like a competent assistant, and it will tell the caller it’s an assistant — that part is not optional in California. What we tune is everything else: your greeting, your terminology, your service area, your after-hours policy, how it handles someone who’s angry, and when it stops trying and gets a human.
Before launch you’ll hear real recordings of it handling your actual scenarios, and nothing goes live until you’re happy with how it sounds.
What happens when the AI gets something wrong?
It’s designed to fail toward a human rather than guess. Anything outside its documented knowledge — unusual pricing, a legal or medical question, a complaint, an unhappy tone — triggers a handoff and an alert to your team. We review flagged conversations weekly for the first month and monthly after that.
You can also switch any workflow off yourself, instantly, without calling us.
Do I have to replace my current software?
No, and we’d usually advise against it. Migrations are where automation projects die. We connect to your existing CRM, calendar, phone system and accounting software. If something genuinely can’t be connected, we’ll tell you that in the blueprint along with what it would cost to work around it.
How long before it pays for itself?
For most of the businesses we’ve scoped, one recovered job a month covers the Tier 01 retainer, and industry payback on automation projects is typically quoted at three to six months. The honest answer is that it depends on your average job value and how many enquiries you’re currently missing — which is exactly what the free audit measures, using your call log rather than an assumption.
If the numbers don’t work, we’ll say so on that call. We’d rather lose the sale than build something that gets cancelled in month four.
Is any of this actually legal in California?
Yes, with conditions that we build in rather than leave to you. The B.O.T. Act requires bots to disclose themselves in commercial conversations with Californians. The CCPA and CPRA give your customers rights over the data these systems collect. TCPA rules govern automated texting and require real consent and working opt-outs. California is also a two-party consent state for call recording, so recorded calls get a notice.
We’re an agency, not your lawyers — for a regulated practice we’ll work alongside yours — but none of the above is unfamiliar territory and none of it is a reason to avoid automating.
What happens to my customer data?
It stays in accounts you own, and we document exactly what’s collected, where it lives and how long it’s kept. We use business-tier AI services whose terms exclude your data from model training, and we don’t sell, share or reuse anything from one client’s systems anywhere else.
I already have a receptionist. Does this replace them?
Almost never, and we’ll push back if that’s the goal. What it replaces is the overflow: the second and third simultaneous call, the 6pm enquiry, the Saturday voicemail, the reminder nobody had time to send. Front-desk staff generally end up spending their time on the people physically in front of them, which is what you hired them for.
Do you only work with California businesses?
California is where we focus, and it’s a deliberate choice — the market, the regulations and the local search landscape here are what we know in detail. We’ll take on businesses outside the state case by case, but our Local SEO and compliance work is sharpest inside it.
How is this different from the AI features already in my software?
Those features work inside one tool. Most of what loses you money happens between tools — a lead arrives in one place, the calendar lives in another, the estimate in a third, and the follow-up depends on somebody remembering. We build the connective layer, then use AI at the points where judgement is needed. If a feature you already pay for does the job, we’ll tell you to turn it on instead of billing you for it.
The free AI Automation Audit
Thirty minutes. No pitch deck.
We look at where enquiries come from, what happens to the ones you don’t catch, and which two automations would pay for themselves fastest in your business. You keep the findings either way.
We review your call log, enquiry sources and response times — no access to anything sensitive required.
We put a number on what’s currently falling through, using your figures rather than industry averages.
You get a ranked shortlist of automations with an estimated monthly value for each.
If nothing on it is worth building yet, we’ll tell you that and check back in six months.
